Policy

AVI Fresh Catering would like 24-48 hour notice for all typical catering orders.

We would appreciate 72 hours for orders involving hot prepared entrée.

AVI Fresh Catering understands that last minute orders occur, and as always, we will do our absolute best to accommodate your catering and event needs.

Please place your online orders as early as possible to ensure timely processing.

Please place your orders no later than 12:00 pm. the day prior. (Some hot menu item may require longer notice). After 12:00 pm., we cannot guarantee product selection or delivery. Same day delivery may not be possible and we would inform you when delivery could be made. Please note that our hot food and hors d’oeuvres orders must be made 72 hours prior to your event date. Our delivery hours start as early as 7:00am.

Scheduled delivery times will be booked on a first come, first serve basis. We will contact you to arrange an alternate delivery time should the slot you selected be full.

Our office hours are 8:00am-4:30pm Monday through Friday, therefore, orders placed late Friday or over the weekend will not be received in our office until Monday morning. Your order is not confirmed until we have contacted you to arrange for delivery and confirm your event information.

ALCOHOL SERVICE:

1. Currently, alcohol may only be served in the following locations:

  • Student Union
  • First floor of Higgins Hall South, and
  • Second-floor lobby of Pratt Manhattan
  • Seventh floor student lounge of Pratt Manhattan

Any other location must be approved by the Vice President of the sponsoring division. Alcohol is never permitted in common areas including outdoors, residence hall yards, front steps of any building, and elevators. Please be advised, at this time there is a minimum charge of $100 for a licensing fee for alcohol service in the Student Union that will be included in the event cost.

2. Our liquor license, in accordance to New York State Law, along with the policies of Pratt Institute, require that all alcohol that is to be served on campus or at campus events, must be purchased only through AVI Foodsystems. Please allow a minimum of 30 days notice prior to your event date, in case a permit is necessary. If a permit is required, that permit fee will be charged to the group hosting the event. The minimum permit fee is $100 and could be higher, depending on the event plans. Alcohol must be served by certified bartenders, 1 bartender is required for every 50 guests in attendance, and have service a fee of $225 each for up to 5 hours.

3. Dining services is responsible for identifying designated servers in advance of the event.

4. A sign must be posted at point of service indicating the NYS legal drinking age is 21 and minors will not be served. Student attended events will include tyvek wristbands indicating guests are of legal age to drink. Those guests who appear over the age of 30 will not be carded or wrist banded. Alcohol consumption will be marked on wristbands at a rate of one beverage per hour. The only acceptable forms of identification which can serve as positive proof of age are:

  • A driver’s license (if year of birth and picture are on license)
  • A Government issued photo identification card
  • A passport

5. The Office of Public Safety must be notified in advance of any event where alcohol will be served. A Public Safety Officer must be present for the entirety of the event. The hosting group is responsible for the cost.

Any exceptions to these procedures must be approved by the Vice President of the sponsoring division.

DONATED ALCOHOLIC BEVERAGE POLICY:

Alcoholic beverages may be donated to a non-for-profit organization or group that is holding an event that is being catered by AVI. This is the case whether the event takes place at AVI’s licensed premises or at an unlicensed location where AVI has obtained a permit for the event.

Donations of alcoholic beverages must be delivered to the AVI office located in North Hall, 24 hours prior to the event. In accordance with NYS law, any alcoholic beverages remaining at the end of the event must be immediately removed by the department hosting the event. In the event the alcohol is not removed at the end of the event, it will be discarded by AVI. Donated alcohol is not permitted to be stored on campus after the event has taken place.

SECURITY:

Ordering from AVI Fresh Catering is both easy and secure. When you place an order, you can feel confident that your credit card information is protected by our secured server

Our online ordering servers are hosted by CaterTrax, which has security measures in place to protect the loss, misuse or alteration of the information under our control. We use encryption technology to protect your sensitive personal information stored on our servers and while being transmitted over the Internet. Your information is always stored in this fashion and is never transferred without encryption.

ORDER CHANGES AND CANCELLATIONS:

We would like 48 hour advance notification of cancellation, we may be able to cancel any orders if we have not completed the order. If there are costs incurred as a result of your cancellation, client will be billed for those costs and not the entire cost of the event. Please call us to cancel a last minute order. Do not email or fax last minute cancellations. Clients must speak directly to one of our catering coordinators, any message to a staff member or on our voice mail is not a valid cancellation. Any late changes (less than 24hrs) to an original order can be made on-line by logging into your account. Late order changes may not be fulfilled, it depends on our kitchen schedule that day. Your changes are not confirmed until we have contacted you either by email or a phone call from our event coordinators to confirm your changes.

PAYMENT TERMS AND GRATUITY:

In addition to credit charge payments, AI Fresh Catering will accept your personal or company check in advance or on delivery of order. For purchase orders, cost centers, and orders to be billed, terms are net 15 days.

SALES TAX:

Sales tax is applied to all orders. Tax-exempt organizations must provide a tax letter with first order. This does not apply to International House functions or events.

PRICES:

Prices on our menus and website may be subject to change due to market price fluctuation and product availability. Substitutions and additions on any menu will reflect price changes on the final invoice. We recommend clients request a new price quote if there are any additions or substitutions. Price changes may vary.

DAMAGES AND LIABILITY:

Client’s responsibility is to ensure that the table for setup and any flammable items including our décor material is protected from the heat source of our chafers. If our staff is not hired to be present at client’s event, client will be responsible for the unattended chafing dishes and all of AVI Fresh Catering equipment. AVI Fresh Catering does not assume or accept any responsibility due to negligence by the client or any attendees of the client’s event that caused any damage as a result. Missing or damaged equipment, décor, place settings, centerpieces, linens, serving utensils, salad bowls will be billed at replacement cost to client. It’s the responsibility of the client to ensure that all of AVI Fresh Catering properties are present when the catering staff arrives to pick up. Equipment/items that are not picked up on the same day require the same responsibility of the client to ensure that equipment/items are not lost or missing.

FOODBORNE ILLNESS:

Consuming raw or undercooked meats, poultry, seafood, shellfish, eggs or unpasteurized milk may increase your risk of food borne illness.

FOOD LEFTOVER POLICY:

Our policy, in conjunction with the NYC Department of Health policies, preclude us from repackaging and re-serving any leftover food at the end of an event or meeting. Under no circumstances can we violate this health department policy. At the client’s risk alone, staff members who decide to offer the left overs do so at their own liability. The client(s) will assume full responsibility for any liability as a result from consuming leftover food after the event. In addition, we cannot provide packaging or containers to do so.

PRIVACY POLICY:

By completing any application/forms on this Web site, you are offering data to AVI Fresh Catering that it will keep private and use only as described here. AVI Fresh Catering will not sell, give away, or otherwise distribute your personal information that has been collected through this site, either in the near or distant future, without first contacting you and receiving your explicit permission.

Your information on our data base will be used solely by AVI Fresh Catering, both to fulfill the service to you as described within the site, and for future correspondence with you. (For example, we might contact you at some future date, to make an offer, or to discuss a past service.)

If you wish to be removed from our correspondence lists (to be no longer contacted by us), please let us know by email, and we will honor your request.

REFUND POLICY:

AVI Fresh Catering does our best to make sure that every order is double checked for freshness, accuracy and quality. In the event of an unexpected error, refunds will be handled on a case by case basis. In order to receive a refund, please contact the AVI Fresh Catering Director / Resident Director.
